Client Onboarding Form

Help us understand your brand deeply so we can create marketing that actually converts.

Step 1 — Business Overview 1 of 8
🏢

Business Overview

Let's start with the basics. This gives us the foundation for everything we create — your brand name, what you do, and who you are.

The person we'll be working with directly and sending updates to.

The name your clients and audience know you by. If you have a personal brand and a business name, include both.

ExampleSkin by Abena — or — Dr. Kofi Asante | Aesthetic Clinic

Pick the one that best describes your primary business area. If you span multiple, pick the dominant one.

Your main website or booking page. If you don't have one, leave blank — we'll note it.

List all active profiles. Include the platform name. We'll audit them to understand your current voice and content style.

ExampleInstagram: @skinbyabena | TikTok: @skinbyabena | Facebook: Skin by Abena

Include country code. We use this for quick check-ins and approvals.

💼

Your Services & Offers

We need to know exactly what you sell so we can write copy that highlights the right benefits, prices, and outcomes for each offer.

Pretend you're explaining to a friend who knows nothing about your industry. Keep it simple and clear.

Example"I run a MedSpa that offers non-surgical body contouring, skin brightening facials, and laser hair removal. I serve working women in Accra who want to look polished without going under the knife."

List each service or package, its price (or price range), and what's included. This helps us write accurate, compelling content without guessing.

Example1. Hydra Facial — GHS 450 — 60 min deep cleanse + glow treatment
2. Body Sculpting Package (3 sessions) — GHS 1,800 — targets belly + thighs
3. Monthly Skin Membership — GHS 600/mo — 2 treatments + skincare kit

The offer you most want us to push — the one that's easiest to sell, has the best margin, or represents what you do best.

ExampleOur 3-session body sculpting package. It's our best seller and gets visible results within 2 weeks.

If yes, describe it — we may create a separate content strategy for it.

ExampleYes — a 6-week online skin coaching program called "Glow From Within" priced at $297.
🎯

Your Ideal Client

The clearer you are about your ideal client, the more precisely we can write to them. Generic content speaks to everyone and converts no one.

Describe them as a real person — their age, gender, location, lifestyle, job, income level, and what their life looks like day-to-day.

Example"Working women aged 28–45, living in Accra or Lagos. They're corporate professionals or business owners, earning well, and they value their appearance. They're busy, they'll pay for results, but they've been burned by cheap treatments before."

Think about what keeps them up at night, what they complain about to friends, or what they've tried that hasn't worked. This is the emotional hook in all our copy.

Example"They've tried every whitening cream on the market and still deal with uneven skin tone and hyperpigmentation. They're embarrassed to go out without heavy makeup."

What transformation are they hoping for? Be specific and emotional — not just "clear skin" but what clear skin means to their life.

Example"To walk into any room barefaced and confident. To stop spending GHS 800/month on makeup trying to cover up their skin. To finally feel like themselves again."

List the top 3–5 reasons people hesitate, delay, or say "let me think about it." We'll pre-emptively handle these in the content.

Example1. "It's too expensive" — 2. "I'm scared it will damage my skin" — 3. "I don't have time to come in regularly" — 4. "I've tried similar things and they didn't work"

This determines where we focus content creation energy. Tick all that apply.

🎙️

Brand Voice & Identity

Your brand voice is how you "sound" in writing. When we get this right, clients feel like YOU wrote every caption, email, and post — not a stranger.

If your brand were a person at a party, how would they act? Pick up to 4 that feel most true.

Drag your answer toward the description that best fits. Think about how you actually speak and write — not how you think you "should."

Example"We're friendly but not silly. We're professional but not cold. Think: a trusted older sister who happens to be an expert."

Any signature phrases, power words, or language your audience responds to. This keeps the copy feeling like YOU.

Example"We say 'glow up' not 'transformation.' We say 'sis' when addressing female clients. We use 'invest' not 'spend.' We avoid the word 'cheap.'"

Hard rules — topics, competitors' names, sensitive language, or anything that would embarrass the brand.

Example"Never mention competitor names. Never say 'cheap' or 'affordable' — we're a premium brand. Avoid diet culture language. Never make promises about medical outcomes."

Links to posts, captions, emails, or videos where you felt "yes, THIS is my voice." We'll study these to match your style.

Doesn't have to be in your industry. Could be someone whose aesthetic, energy, or writing you'd love to channel.

Example"@drpimplepopper for educational tone, @glossier for aesthetic, @alexanderisora for copywriting style"
📈

Content Goals & Strategy

What do you actually want content to DO for your business? This shapes the mix of educational, promotional, and story-based content we create.

Be specific. "Grow Instagram" is vague. "Book 10 new skin consultation calls per month from Instagram" is actionable.

Example1. Book 8–10 DMs/inquiries per week on Instagram
2. Build enough trust that cold leads convert without a sales call
3. Establish me as the go-to skin expert in Accra

Select all formats we'll be producing for you. If you're unsure, select everything and we'll advise on the right mix.

This sets our content volume. Be realistic — consistent at 3x/week beats erratic at 7x/week every time.

If you already have a plan (promotions, launches, events) we'll map our content around it. If not, we'll build the calendar from scratch.

Example"I have a Black Friday promo in November and a new package launch in September. Otherwise, no calendar."

Be brutally honest. If we know what fell flat, we avoid repeating it. This saves time for both of us.

Example"Educational posts get zero engagement. Before-and-afters do well. Anything too formal gets ignored. Posting quotes gets no bookings."

Social Proof & Results

Testimonials, results, and case studies are the most powerful conversion tools in content marketing. The more you give us, the better we can sell you.

Copy and paste actual words clients said (in DMs, Google reviews, WhatsApp, etc.) OR describe the result. Include the client's name/initials if possible.

Example"Abena N. said: 'After 3 sessions my skin looks clearer than it did at 22. I've stopped wearing foundation to work.' — or — Client lost 6kg in 8 weeks on our nutrition plan."

Let us know what you have and we'll request them separately. These are gold for content and ads.

Numbers in content build instant credibility. Think clients served, success rates, years in business, revenue generated for clients, etc.

Example"200+ clients served. 4.9-star Google rating. 92% of clients see visible results within 2 sessions. 6 years in business. Featured in Joy FM."

Podcast features, magazine mentions, awards, certifications, or brand collaborations we can reference in your bio and content.

Example"Featured in Pulse Ghana. Certified by CIDESCO. Won Best MedSpa in Accra 2023 — CityXperience Awards."
🔎

Competitors & Positioning

We need to understand your competitive landscape so we can position you as the clear, obvious choice — not just another option in the market.

Could be direct competitors (same service, same city) or indirect (online alternatives). Include their IG handles or website if you know them.

Example1. @glamglowspa (local MedSpa — good following but generic content)
2. SkinGlow Clinic (higher price point, luxury positioning)
3. DIY skincare influencers — people going to YouTube instead of a clinic

This becomes your content's competitive edge — the angle we keep coming back to. Don't be modest here.

Example"We use clinical-grade imported equipment they don't have. We do a proper skin analysis before every treatment — others just jump in. We have longer-lasting results because we treat the root cause."

This is your positioning statement — the one-liner that separates you from everything else. Take your time with this one.

Example"We're the only MedSpa in Accra that combines Korean aesthetic techniques with African skin expertise, so your results actually last."

This affects how we write about price and value in your content.

🤝

Working Together

Almost done! These final questions help us set up a smooth working relationship — approvals, feedback cycles, and what you need from us to feel fully supported.

There's no wrong answer — just helps us know how much autonomy to take vs. how much to check in.

Helps us plan our workflow and set realistic delivery dates for your content batches.

Let us know what you have and we'll request them via a shared folder. Consistency in visuals + copy = stronger brand.

Be as specific as possible. This becomes our shared target and we'll use it to measure results and report back to you.

Example"In 90 days I want at least 15 new paying clients from social, 500 new Instagram followers, and a steady stream of 5–8 DM inquiries per week without paid ads."

Anything sensitive, unusual, or important that will help us serve you better. No detail is too small.

Example"I had a PR issue last year about a client reaction — avoid anything that could revive it. My main audience is on WhatsApp, not Instagram. My co-founder handles Sundays."
